From the field to management: an end-to-end CRM cycle

At a manufacturer working through a wide dealer network, the sales process and field activity were brought into one system.

Where it started

At a manufacturer selling through dealers, the work does not happen at one desk. The field team is on the road, dealers are in their own regions, and head office has to see the sum of both.

The pattern is consistent: the information exists, but it never gathers. Visits happen, conversations take place, things get agreed — and most of it stays in people’s heads. Management can only answer “what happened in the field this month” by asking people one at a time.

What we built

We built the sales cycle end to end on Salesforce: every stage from first contact through to order runs in the same system. Field activity is not outside that cycle — it is part of it.

The field became part of the process

What the field team produces no longer sits somewhere separate. Visits and conversations are recorded inside the system and attached to the relevant customer record.

The critical part was making that recording easy for the field team. Entering information in a vehicle or during a dealer visit is not as comfortable as at a desk; if the screens are not designed for that, the records do not get made and the system stays empty.

The dealer relationship became visible

In a wide dealer network every dealer is in a different position. Some are growing, some are flat, some have not been contacted in a long time. For management to see those differences, the data has to be consistent and comparable.

We put dealer information into a single structure, so the channel can be assessed as a whole from one screen.

Connected to the systems already in place

A CRM should not be an island. We built a structure fed by data from the company’s existing business systems, so the sales team does not have to look elsewhere for what it needs.

The real work in that kind of connection is not technical: it is deciding who owns which data. Left unanswered, two systems start holding the same information differently.

A view for management

Managers can now follow open opportunities, field activity and the state of the dealer channel from the same place. Reporting stopped being something prepared and became something looked at.

The real change is that knowledge moved out of individual memories and became the company’s. When a sales rep leaves, the history of the customer relationship does not leave with them.

What we would do differently

We would treat the field team’s adoption as being as important as the technical build. However well the screens are designed, changing habits takes time.

Starting a similar project today, we would roll out to a small group first and move forward on their feedback. Opening it to everyone at once brings all the feedback at once, and scattered.
